Bulk updates is the process of efficiently modifying multiple items within the platform. For example, changing contacts' "ready" status, adding contacts to buckets, removing tags, activating campaigns, etc. Bulk deletes removes multiple items such as: Caller IDs/DIDs, contacts, and voice mail messages.
The following examples show some ways in how bulk updates are used.
Filtering Contacts (Selecting Which Contacts to Bulk Update)
Go to: Data > Contacts
In some cases, certain criteria is required to narrow queries down. For example, perhaps you only require contacts within a certain contact ID range, disposition, city, or tag.
Filtering is done by clicking the Filter button (top center of Contacts page) and make the required selection(s) in this window.
Filter example:
- ID: 1000 - 15000
- Ready: False
- Contact Disposition: Not Available
- State: CA
- Last Outbound Call: 1/1/2022, 8:00AM - 7/1/2022, 5:00PM
- Tags: MyFirstPhoneList.csv
Once selections have been made, click Filter Results to run the query.
Selecting Contacts
Navigate to left side of the Contacts page. Notice each contact row has a checkbox.
When more than one checkbox is selected, it becomes a bulk update. Three ways to select contacts:
A) Single Checkbox
- Manually check contacts one-by-one.
B) Multi-Select
- Manually select a segment of contacts: Click the first contact, then hold Shift + click the last contact.
C)Select All
Two ways to select all contacts:
- 1) Select all contacts on the page - Click the top checkbox to select all contacts on the page. This is based on the Page Size, located on the bottom right of the Contacts page.
- 2) Select all contacts in the account - After clicking the top check box, click the "Select all _ Contacts" link located on the top-center of the page. This selects every contact in the account.
When multiple contacts have been selected, a blue "Contacts Selected" bar will appear at the bottom of the page. From here, bulk updates may be applied. See below for some popular uses for bulk updates.
Set Contacts to "Ready"
A popular use for bulk updates is setting contacts from ready=False to ready=True. This allows for contacts to be available for dialing through live filters.
Bulk Delete Contacts
- Go to the Contacts page and select multiple contacts.
- Click Delete Contacts (bottom-left of the page).
- Confirm by clicking Delete on the Delete Selected Contacts window.
- A "Bulk Contact Delete is Complete" confirmation alert should populate. Additionally, you can click on the green clipboard icon (top right of the page) to view the "Scheduled Task" log.
If errors occur with this process, notify support.
Add Contacts to Buckets
- Go to the Contacts page and select multiple contacts.
- Click "View/Edit Contacts" (bottom-right of the page)
- In the Edit Contacts window, under Buckets, use the drop-down menu to select an existing bucket. A new bucket can be created by clicking Create New. (If a new bucket is created, it auto-selects and attaches to the form.) Once a bucket has been selected, click Add to attach to the form. Click Save to finish.
- A "Bulk Contact Update is Complete" confirmation alert should populate. Additionally, you can click on the green clipboard icon (top right of the page) to view the "Scheduled Task" log.
If errors occur with this process, notify support.
Live Filter - "Set Ready"
On the Live Filters page, live filters have a bulk update feature called "Set Ready." When clicked, it queries targeted contacts that are set as ready=False and sets them as ready=True. This is done in order to dial contacts through the live filter.
NOTE! Setting targeted contacts to "Ready" within the live filter is different from manually selected contacts on the Contacts page. The contacts page allows for contacts to be set "Ready" based on criteria from the Edit Contacts window. The live filter allows for contacts to be set "Ready" based on the live filter's settings.
Other Bulk Update Uses
- Campaign Agents - assign multiple agents to a campaign or log them out.
- Campaigns Page - edit campaign settings such as activate or deactivate, assign live filter, select caller ID strategies, adjust channels per agent, etc.
- Phone Numbers (DIDs) - create name, select destination, hold music group, and inbound ring time.
- Caller IDs - create name, select campaign enabled (true/false), and create a CNAM.
- Caller ID Groups - create name and assign caller IDs to a group.
Logs Submenu
If the Logs Submenu feature is enabled, go to: Reports > Logs > Bulk Operation Logs to view any bulk operations. This is useful for inspecting the details of all bulk updates and deletes such as timestamps, users, and objects (items).
Conclusion
This time-saving data management feature has been exceptionally convenient for users. It's ability to facilitate updating large quantities of data (contacts, buckets, tags, campaign agents, DIDs and caller IDs) in seconds is valuable when managing multiple sets of data, teams, and campaigns.
