Contacts are the individuals or business entities that you intend to do business with. Contacts can be uploaded as lists or manually created one-by-one on the contacts page. This multi-part series covers how to upload contact phone lists into your account.
CSV File Preparation
Before phone lists can be uploaded, they must be prepared with proper formatting. Phone lists are to be formatted as .csv spreadsheets, with headers, and the applicable data within the header columns. The maximum amount of lines (contacts) per import is 300,000. This limit helps prevent bottlenecks during the upload process.
The first row of the spreadsheet should contain columns that are called "headers." Headers can be thought of as "labels" that correlate with the contact's personal information. Any contact information that's to be used from the phone list must have its headers mapped with our system's contact fields. "Contact Fields" can also be thought of as "labels" within the Call Tools' platform. Contact fields are contact properties that populate specific contact information.
To help clarify, below are examples of spreadsheet headers and the correlating contact information.
Example
- Row 1 = Headers: first name, last name, address, city, state, zip, phone, etc.
- Row 2 = Contact's Information: John, Smith, 123 Main St., Los Angeles...etc.
The phone list's headers are mapped with our system's contact fields to populate the contact's information on the agent's dashboard.
After the spreadsheet has been properly formatted and saved as a .csv file, it's ready for upload.
Upload Contact Phone List
Go to: Data > Contacts
Click Upload Contacts to begin.
1. Import File. The phone list file can be imported by drag-n-drop into the pop-up window or click Upload File to search and select the file.
2. Mapping. The second step is to map all of the headers that are to be used on the "Contact Import" table. This window displays a sample of the data being imported. "CSV Column" is the header, "Sample Data" is a preview of the contact's information, and "Field to Map" is our platform's contact field. Our system has default fields that can be mapped. If there are missing or unrecognized headers, click the drop-down menu and map the corresponding header(s).
If new contact fields are needed, click + Create New Contact Field, located at the bottom of the window. This allows you to create additional contact fields before the list is uploaded. For example, if you have unique headers, creating new contact fields will ensure agents correctly see any unique field that's relevant to your contact. Another example would be missing headers in the .csv file. If a header is missing, and none of the fields from the drop-down menu accurately tie in with the data, creating a new field will solve the issue.

After the fields have been mapped, click Next to proceed.
