In our last article, Upload Contact Lists - Part 1, we went over how to prepare and import a .csv file and how to map headers with contact fields. In this article we'll cover duplicate match settings using your account settings, tagging, and timezone options.
Scrubbing Options - "Use Account Duplicate Match Settings"
After clicking Next, the "Scrubbing Options" window pops up with "Use Account Duplicate Matching Settings" selected.
This duplicate match option uses settings from the account's "Data Management Default Settings." This page is under: Account > Settings > Data Management Default Settings. This is where duplicate match options can be selected to carry out contact scrubbing. The default options are:
- Import/Create Duplicate Contact Action: Merge
- Omit DNC Phone Numbers: Disabled
- Omit FDNC Phone Numbers: Disabled
-
Duplicate Match By:
- Phone Numbers: Enabled
- Email Address: Disabled
- First/Last Name & Address: Disabled
- Address & City: Disabled
- Address & State: Disabled
- Address, City, State & Zip: Disabled
*Note: Two "duplicate match" options can be selected.
Tags
Tags are labels used to identify contacts as being part of specific groupings and are used to section data off for certain contact arrangements. By default, the phone list title is used to tag the uploaded contacts.
Would You Like to Tag Any Duplicate Matched Existing Contacts Found? When the "Tag Existing Contacts" option is enabled (checked), duplicate contacts will be tagged with any of the displayed tags from the following section. This feature only works if "Overwrite" or "Merge" are selected.
Tags To Add To These Contacts. "Tags" show any tags that will be applied to contacts during the this upload. If new tags are needed, click Create New Tag to manually create a tag. Once the tag is saved, the tag is auto-applied. Other pre-existing tags can be selected from the drop-down menu as well.
Time Zone. This feature is used for converting any datetime field from a csv file to UTC time. By the uploader select their timezone, it then converts the time to UTC, which is how the system stores it the database.
For example, notice the "appt time" column in this csv file below. It displays the date and time of the contact's appointment. By uploading the file and selecting the timezone from where the uploader is located, the datetime contact field will display to the agent user accordingly by their time zone location.
Note: Keep in mind, this feature is not for setting the contact timezone. That's done by the system using the state or the area code from the phone number fields.
Click Upload to finish.
