Deletion Logs keep a record of deleted objects within your account. This is an important feature that helps manage the deletion of objects, especially when considering DIDs and agent users.
Go to: Reports > Logs > Deletion Logs
This page displays all deletions that have taken place. The "Type" column informs of the kind of deletion that occurred. "Type" examples: accountuser, callerid, campaign, contact, inboundroute (DID), livefilter, phone number, queue, report, etc. Essentially, where ever there is a "delete" option on the platform, it can be added to the deletion log.
By clicking on "View Details" under the "Controls" column, you can view additional information regarding the deletion. In this example, the type is "accountuser" and the user's name is John Smith. The description shows the user is an agent-only user: "is agent" = "true" and "is manager" = "false." The "User" column displays the user that deleted the object. As an added identifier, the "User IP" is displayed.
Keep these two "types" in mind:
- A) "Callerid" type refers to a deletion made from the Caller ID's page. Deleting a caller ID has the option to include deleting the DID (inbound route). If "delete & cancel the associated Phone Number (DID)" is enabled (checked), then it will delete the DID as well, however the deletion type will display as "callerid" since it was made from the Caller IDs page.
- B) "Inboundroute" type refers to a deletion made from the Phone Numbers (DIDs) page. Deleting a DID will automatically include the deletion of the caller ID. The deletion type will display as "inboundroute."
Bulk Operation Logs - Operation: Delete
Deletion Logs display single objects that have been deleted. If multiple objects have been deleted, the record won't be found under "Deletion Logs," but instead under "Bulk Operation Logs."
Go to: Reports > Logs > Bulk Operation Logs
Bulk Operation Logs displays "delete" operations, including other actions such as "updates." Any time two or more objects are deleted or updated, the log is displayed on this page. In other words, a bulk deletion (or a copy of it) will not be displayed in Deletion Logs.
By clicking on "View Details" under the "Controls" column, you can view the quantity of items that were included in the bulk operation log. In this example, two DIDs were deleted. The "Target Model" is "Inbound Route" (DID), which is similar to "Type" in deletion logs. The "Operation" is a "Delete" action. "Created By" shows which user created the log, and it also displays their "Created By IP" address. The bulk operation will only display "Query Filter" ID numbers and the "Total."
Deletion Log Data Retention
Most deletions logs are kept for 60 days. "Callerid" and "inboundroute" (DIDs) are kept for 120 days.
Conclusion
It's important to be aware of the items that have been deleted. This is especially important when multiple managers have access to the account, as deletions could be intentional or accidental, which runs the risk of confusion, data loss, and setbacks.
Deletion logs are also good for auditing your account to ensure products and features are set with the correct quantities.
